- Who owns oversight?

What Teams Need from the Policy
Operational teams need clarity, not theory. They should be able to tell quickly whether they can use a given tool for drafting, summarising, internal search, customer communication, coding support, analytics, or document review.
That means the policy should distinguish between low-risk use, managed-risk use, and prohibited use.
Low-risk use
Examples include summarising internal non-sensitive notes, drafting non-final copy, brainstorming, or assisting with public information research.
Managed-risk use
Examples include processing internal reports, supporting regulated workflows, handling structured customer data, or generating materials that affect commercial or operational decisions. These uses require review rights, tool approval, and defined accountability.
Prohibited use
Examples include uploading sensitive confidential data into non-approved tools, using AI outputs as final decision authority in high-risk contexts, or generating external communications without review where material risk exists.

A practical AI policy should include:
- Purpose and scope
- Approved and non-approved use cases
- Data handling rules
- Human review requirements
- Tool approval and procurement rules
- Ownership, escalation, and audit expectations
- Incident reporting process
Why Boards Reject Weak Policies
Boards reject weak policies because they can sense when a document has no operating logic behind it. If the policy does not define ownership, review thresholds, or implementation controls, then it is just language, not governance.
On the other hand, boards also resist policies that block all practical use, because leadership understands that AI capability is becoming strategic. The objective is controlled enablement.
The best policies are short, usable, enforceable, and tied directly to actual workflows. They do not try to predict every future tool. They define principles, risk categories, and approval logic that can scale with change.
